Position Overview:

The Operations Coordinator will manage a personal portfolio of 35–45 active shipments across Air Import, Ocean Import, and Domestic Trucking (approximately equal split across all three modes). This is a purely hands-on, execution-focused role requiring strong attention to detail, solid freight forwarding fundamentals, and daily proficiency in CargoWise. The ideal candidate understands the full lifecycle of a USA import shipment, including customs clearance processes, and can manage high file volumes with accuracy and professionalism.

Job requirements

  • Manage 35–45 active shipment files simultaneously in CargoWise across all three modes

  • Coordinate with carriers, agents, truckers, customs brokers, and clients to ensure on-time execution

  • Prepare, review, and track shipment documentation — HBLs, MBLs, commercial invoices, packing lists, ISF, and more

  • Monitor customs clearance status and communicate proactively with brokers and clients

  • Ensure timely freight release, delivery scheduling, and final-mile coordination

  • Maintain accurate data entry and file management at all shipment lifecycle stages

  • Handle financial reconciliation, including cost accruals and invoicing

  • Manage high email volumes across shipment files professionally and efficiently

Required qualifications

  • 3–5 years of experience in freight forwarding operations (imports focus strongly preferred)

  • Solid working knowledge of USA import processes and customs clearance workflows (licensed broker not required)

  • Proficiency in CargoWise (mandatory — hands-on daily use)

  • Experience across at least two of the three modes: air import, ocean import, and domestic trucking

  • Strong command of English (verbal and written)

  • Spanish language skills are a strong plus

  • High proficiency with Microsoft Outlook, Teams, OneDrive, and SharePoint

  • Experience using FRONT as a mail client is a plus

Working conditions

  • Work schedule: Monday - Friday, 8 am - 5 pm EST
