Job description
Position Overview
Our client is seeking a Logistics Coordinator with direct experience in the construction industry to manage and track the movement of over 50,000 mats and a fleet of heavy equipment between job sites, company yards, sawmills, and disposal facilities. This is not a traditional warehouse-to-end-user logistics role — it requires a hands-on, proactive individual with a deep understanding of construction timelines, field operations, and real-time freight coordination.
The Logistics Coordinator will be responsible for planning, executing, and optimizing all freight movements while ensuring compliance, cost control, and alignment with project schedules. This role will also play a key part in building strong partnerships with regional carriers and internal field teams.
Key Responsibilities
Transportation & Fleet Coordination
· Plan and coordinate all mat and equipment moves between jobs, yards, vendors, and recycling facilities.
· Track shipments in real-time and resolve delays or disruptions proactively.
· Partner with project managers and foremen to align delivery schedules with construction timelines.
· Optimize transportation costs by securing competitive freight rates with preferred local carriers.
· Expand our network of reliable trucking partners in key regions and reduce broker reliance.
BOL & Documentation Management
· Prepare and manage all Bills of Lading (BOLs) for new bookings.
· Maintain a daily, accurate Shipment Summary tracking freight movement.
· Ensure BOLs and shipping records are archived and accessible for audit and invoicing purposes.
Compliance & Safety
· Ensure all carriers and drivers comply with DOT regulations, PPE requirements, and jobsite safety protocols.
· Enforce company transportation policies and investigate any violations or incidents.
· Support resolution of disputes related to load cancellations, safety noncompliance, or invoice discrepancies.
Internal Communication & Forecasting
· Collaborate with the Operations, Estimating, and Sales teams to align logistics with field needs.
· Attend project kickoff meetings to establish delivery expectations and schedules.
· Forecast material and freight needs based on upcoming project requirements.
Vendor Management
· Qualify and onboard new trucking vendors, ensuring they meet Dakota’s standards for insurance, safety, and reliability.
· Train new carriers on company expectations including arrival timing, site check-ins, and communication protocols.
· Track and evaluate vendor performance using key metrics (on-time delivery, invoice accuracy, safety compliance).
· Set up MSAs with qualified vendors and approve bills in a timely manner.

Minimum Requirements
· Availability to work outside standard business hours, including evenings/weekends as needed.
· Proven ability to manage high-volume, high-urgency logistics in a construction or field services environment.
· Exceptional organizational skills, attention to detail, and ability to thrive under pressure.
· Strong communication skills across multiple departments and vendors.
· Tech-savvy and quick to learn internal tools, trackers, or ERP/logistics software.
Preferred Qualifications
· 2+ years of logistics coordination experience within the construction or access matting industry.
· Experience coordinating the movement of large fleets and oversized assets.
· Strong negotiation skills and track record of managing vendor relationships.
· Familiarity with DOT compliance, insurance standards, and construction jobsite operations.
