Job description

We are seeking a dedicated and detail-oriented Dispatch Coordinator to manage and optimize freight services, ensuring smooth transportation operations and timely deliveries. The ideal candidate will have experience in domestic transportation (TL, Truckload, IMDL, LTL) and possess strong communication and problem-solving skills. This role is critical to ensuring our loads are effectively dispatched, tracked, and communicated, as well as assisting with customer billing and accounting where needed, particularly during slower night shifts.

  • Carrier Selection & Negotiation

    • Identify and vet reputable carriers for freight services using internal tools such as GO HWY, Carrier 411, and DAT.

    • Negotiate competitive rates and service terms with carriers to ensure cost-effectiveness and timely delivery.

  • Dispatch & Load Tracking

    • Dispatch and track active loads (TL, Truckload, IMDL, LTL) for domestic transportation.

    • Continuously monitor and update the status of active loads, ensuring all shipments are on track and meet deadlines.

  • Communication & Customer Service

    • Communicate daily with dispatchers, drivers, and other stakeholders to monitor load status and provide timely updates to customers.

    • Address and resolve any delays or potential issues, ensuring minimal disruption to operations.

  • Problem Resolution & Issue Management

    • Proactively identify potential issues related to delays, equipment, or weather conditions and work with carriers and internal teams to implement timely solutions.

  • Data Entry & Load Documentation

    • Accurately input and update load data in the company’s TMS system in real-time, ensuring accurate records for each load’s progress and completion.

  • Collaboration & Cross-Functional Support

    • Assist with customer billing and accounting responsibilities, especially during night shifts when the pace of operations is slower.

    • Collaborate with other teams to ensure that all financial and operational data is complete and accurate for invoicing and reporting.

  • Working schedule: Mon - Fri 8 am-5 pm PST (1 hour of unpaid lunch is entitled)

Job requirements

  • 1-3 years of experience in freight dispatch, logistics, or transportation management.

  • Familiarity with freight transportation modes including TL, Truckload, IMDL, LTL is highly preferred.Strong communication skills, both written and verbal, to interact with customers, carriers, and internal teams.

  • Ability to negotiate effectively and manage carrier relationships.

  • Proficiency in using transportation management systems (TMS) and load tracking tools such as GO HWY, Carrier 411, and DAT.

  • Problem-solving skills with the ability to think quickly and implement solutions.

  • Detail-oriented with the ability to manage multiple tasks simultaneously.
